Depending on the client you are working for, you may need to submit expense claims through our contractor portal or another system, such as Beeline, Fieldglass, Flextrack, etc. You will first need to check if you have been set up to submit expenses in one of these systems. Click this button if you need to be set up for submitting expenses.
Before incurring the expense, you must get written pre-approval from your reporting manager. Before submitting a claim, please ensure that you:
- Currently have an eligible expense that you would like to have reimbursed.
- Have all the applicable receipts.
- Submit the claim within a few business days of incurring the expense.
General Instructions for Submitting Expenses via the Contractor Portal
If you have been set up to submit expenses on the Contractor Portal, you should see an 'Expenses' tab on the navigation bar on the left of the site. Under the expenses tab:
- Create an expense claim draft. You will see a new 'Expense Details' page, where you can enter the details of your expense claim. If you are working on multiple work orders, you will need to select the work order for which you would like to create an expense claim.
- Add expense items to the expense claim. Expense claims can consist of different items, so this section allows you to enter more than one. Click the [+] button on the bottom right corner of the page. This will prompt you to fill out some information about the expense, including an upload of the applicable receipt.
- Optional: Attach additional attachments, notes or comments with the expense submission. You can do this by clicking on the 'Notes and Attachments' tab.
- Submit your expense claim. Click the 'Submit' button on the bottom right of the expense details page. If you submit the claim but realize you need to make changes, you can do this by clicking 'Recall' on the bottom right of this page, as long as it hasn't been actioned by the designated approver.
You can monitor the status of your expense claim by opening it and looking at the top right of the header. Common statuses include: Draft, Pending Approval, Recalled, Approved and Accepted, and Declined.
